At a Glance

  • Northlight Meetings is a Windows desktop application built by Northlight Advisory Services.
  • It records client calls via VB-Audio Cable, transcribes them using Groq Whisper, and analyzes the transcript with Groq Llama to extract action items, decisions, and follow-up dates.
  • Structured meeting notes are pushed to Google Drive. Approved action items go to ClickUp. Follow-up dates go to Google Calendar.

Northlight Meetings handles the three things that reliably fall through the cracks after a client call: the notes, the follow-ups, and the tasks.

Three modes, one tool

Discover — client needs and pain points → SOW draft. Progress — tasks done or blocked → ClickUp updates. Notes — internal or vendor calls → clean summary. Pick the mode before you start recording; the AI shapes its output accordingly.

Record and transcribe

Records your call audio through VB-Audio Cable and transcribes it with Groq Whisper — fast, accurate, and processed locally. Works with Zoom, Teams, Google Meet, or any platform that plays audio through your speakers.

Push to your tools

Approved meeting notes go to Google Drive using your own templates. Action items become tasks in ClickUp. Follow-up dates become events in Google Calendar. One button. No copy-pasting.

01
Start a session before your call

Open Northlight Meetings and start a new session. Set VB-Audio Cable as your audio output so the app can hear the call. Enter the client name and any context you want included in the notes.

02
Take the call normally

Run your Zoom, Teams, or Google Meet call as usual. Northlight Meetings records the audio in the background — no interruptions, no separate interface to manage.

03
Review the AI analysis

After the call, Northlight Meetings transcribes the audio and runs AI analysis. You get a structured breakdown: action items, decisions made, and follow-up dates — all editable before anything is sent.

04
Approve and push

Check off what's accurate, edit what isn't, and push. Meeting notes go to Google Drive. Tasks go to ClickUp. Dates go to Google Calendar. Done.

Northlight Meetings New Session screen showing three mode options: Discover (client needs and pain points to SOW draft), Progress (tasks done or blocked to ClickUp updates), and Notes (internal and vendor calls to clean summary), with Client Name and Project Name fields Northlight Meetings recording screen showing RECORDING indicator, live timer at 00:00:02, MIC and SYSTEM AUDIO level bars, and a Cover In This Call prompt list including questions about core problems, stakeholders, success criteria, budget, and blockers Northlight Meetings Post-Call Note screen with the heading Add context before analysis runs, explaining that a spoken note gets injected as high-priority context the AI uses to shape the output, with a Start Note button and an Analyse Now button

Most tools stop at the transcript. Northlight Meetings goes from recording to filed notes, tasks, calendar events — and proposals — in a single session.

Northlight Meetings records the audio output of your computer using VB-Audio Cable, a free virtual audio device. It captures whatever is playing through your speakers — your voice and your caller's — during a call on Zoom, Teams, Google Meet, or any other platform. Recordings stay on your local machine and are not uploaded anywhere beyond what Groq needs for transcription.
Structured meeting notes are pushed to a Google Drive folder you specify. Approved action items become tasks in ClickUp. Extracted follow-up dates become events in Google Calendar. You review and approve each push before it happens — nothing goes anywhere automatically.
Yes. Because Northlight Meetings records system audio output rather than connecting to individual platforms, it works with any call software — Zoom, Microsoft Teams, Google Meet, phone calls via softphone, or anything else that plays audio through your speakers.
Northlight Meetings is built by Northlight Advisory Services — a Canadian strategy, advisory, and AI firm based in Halifax, Nova Scotia. It was built to solve a real problem in our own client work: the hour that disappears after every call trying to reconstruct what was said and what needs to happen next.
